Purpose
The purpose of this policy is to outline employee responsibilities and procedures related to the care of company property and the consequences of any damage caused by negligence, misuse, or willful actions.
Scope
This policy applies to all employees, contractors, and temporary staff who use, access, or are in proximity to company property, equipment, or facilities.
Policy Statement
Employees are expected to use company property responsibly and with care. Any damage to property—whether unintentional or intentional, due to negligence, or misuse—may result in disciplinary action and financial liability.
Definitions
Company Property: Includes but is not limited to office furniture, equipment (computers, phones, tools, etc.), vehicles, facilities, and any other tangible assets owned or leased by the company.
Negligence: Failure to take proper care in using company property, resulting in damage.
Intentional Damage: Deliberate acts that result in harm to property.
Employee Responsibilities
Use all company property for its intended purpose only.
Report any defects or maintenance needs immediately.
Handle all equipment with care and according to company guidelines.
Avoid reckless or careless behavior that may lead to damage.
Reporting Damage
Employees must report any incidents of damage to their supervisor or manager as soon as possible. Employees should also report those damages on the Maintenance tab of the Employee Portal. Failure to report may result in further disciplinary action.
Investigation and Liability
All reported incidents will be reviewed to determine the cause and responsibility.
If it is found that the damage resulted from employee negligence, misuse, or intentional actions, the employee may be held financially responsible for repair or replacement costs.
Disciplinary actions may range from a written warning to termination, depending on the severity and recurrence of the damage.
Exclusions
Normal wear and tear or accidental damage occurring while following company procedures and safety protocols may not result in personal liability.
Acknowledgment
All employees must acknowledge receipt and understanding of this policy and annually thereafter.
